JOB DESCRIPTION

Happy Medium is seeking an Executive Assistant to support the CEO and company on a daily basis. This will be an hourly employee and a maximum of 20 hours per week.


POSITION SUMMARY

As an Executive Assistant at Happy Medium, you will be responsible for the following:

  • Providing support for the CEO on a daily basis through a variety of administrative and personal tasks
  • Managing CEO’s calendar, including scheduling, meeting room reservations, and appointment confirmations
  • Coordinating travel arrangements including reservations, flights, hotels and conferences
  • Assisting with telephone and email communication
  • Assisting with the coordination of internal meetings, including scheduling, agendas, meeting room reservations, and preparing meeting materials
  • Assisting with the coordination of annual company events
  • Assisting with the coordination of team and client gifts
  • Managing confidential files, both physical and digital
  • Assisting other members of the Operations team with various tasks as needed


DESIRED SKILLS

  • 3 years of relevant work experience preferred
  • Excellent verbal communication and professional writing skills
  • High attention to detail
  • Ability to manage evolving priorities
  • Self-motivated and able to solve problems and make decisions in a timely manner
  • Ability to work with highly sensitive, confidential information
  • Able to work well under pressure in a fast-paced environment
  • Valid drivers’ license
  • Dependable vehicle required
